Robot Rental Handover: Documenting Gripper Wear Responsibilities

A robot rental may include an arm, controller and a separate gripper or tool. The rental team and customer need to know which attachments are included, who handles routine checks and how wear is recorded during the rental. A clear schedule of responsibilities supports a better handover, but it does not replace the manufacturer’s instructions or the agreement between the parties.

List the attachment and its configuration

Record the gripper manufacturer and model, the robot to which it is attached, the relevant accessory or fingertip identifiers and the documents supplied. If an item is not included in the rental, say so. A photograph may help identify visible components, but it should be accompanied by a verified description and should not be treated as proof of mechanical condition.

The Robotiq Hand-E instruction manual contains product-specific maintenance and spare-parts sections. It is an example of documentation for the model covered by that manual. Other attachments may have different instructions, and a rental team should obtain the applicable documents for the actual equipment.

Define the work and expected environment

Ask the customer to describe the intended workpiece, operating environment and use schedule to the extent needed for the supplier’s review. Record the assumptions that the rental provider used when selecting an attachment. Do not infer compatibility or a safe handling limit from a product picture or a general marketing description.

For a hypothetical rental, a customer plans to handle a workpiece with a surface that differs from the item used in the supplier’s demonstration. The parties can record the difference and ask a qualified integrator to review the actual task. This example does not describe a real rental and does not assert that a particular gripper or fingertip will be suitable.

Separate observations from maintenance decisions

The parties can agree how to report visible wear, unusual operation or missing documentation. A report should identify the item, date and observed condition without guessing at an internal failure. If operation appears unsafe, the responsible people should follow site procedures and the equipment provider’s instructions rather than continuing a test to complete a form.

The Hand-E manual discusses maintenance with reference to its own usage and environmental context. Do not copy a maintenance interval from that manual to an unrelated attachment. The rental provider and customer should establish the applicable instructions, qualified personnel and reporting arrangements for their equipment.

Record who is responsible for what

Before the rental begins, list who will provide instructions, report an issue, approve service work, supply replacement parts and document any change to the attachment. If responsibilities depend on the contract or a later assessment, record that dependency rather than assuming one party accepts every cost.

The record can also identify the permitted service contact, the normal communication channel and any agreed response window. If the customer has several shifts, specify how an observation from one shift reaches the person responsible for the rental. These are administrative arrangements; they do not authorise a worker to disassemble an attachment or override a protective measure.

Ask how an issue should be escalated and what happens if a needed part is unavailable. Keep supplier promises, contract terms and actual service records separate. A statement that support is available is not the same as evidence that a particular repair or replacement has already been approved.

Preserve the source of each record

The W3C PROV Primer explains general concepts for describing the origin of information, related activities and participants. A rental team can use a simple register to show who supplied a manual, who reported a condition and when a service note was added. The primer does not decide responsibility for wear or certify an attachment.

When a part is changed during the rental, record the date, item identifier, responsible service provider and any applicable documentation, subject to the parties’ information-sharing rules. Do not expose account credentials or customer production information in a public-facing record.

Reconcile the attachment at return

Compare the agreed attachment list with what is returned, and document visible observations and unresolved questions. Keep the initial handover record available so both parties can identify the configuration that was actually delivered. The site’s article on rental return and delivery records explains why the two events need separate records. A return note is not, by itself, a technical diagnosis or a conclusion about responsibility for damage.

The industry information section provides additional background. Inspection, maintenance and decisions about a particular rental must follow the equipment documentation, the parties’ agreement and the site’s safety procedures.
